
The Civil Service Institute training department identified inefficiencies with their existing process for pre-and post-training assessments, which were paper-based. These inefficiencies included the lengthy time required for manual data entry and the potential for human error. As a result, the department submitted a request to the, seeking to automate the assessment process.
To address this, 1oxgrowth designed digital pre- and post-assessment forms using Google Forms. However, there was a significant challenge: since students were not pre-registered for the training sessions, it became difficult to efficiently distribute the Google Form links via WhatsApp or other conventional methods.
To overcome this obstacle, we developed an AI-powered chatbot that works through WhatsApp, simplifying the student registration and onboarding process. The chatbot allows students to register for the training by scanning a QR code, which directly links them to the bot on WhatsApp.
Once the students initiate contact with the chatbot, the onboarding process begins. The bot collects essential information from the student, including their name, mobile number, department, position, and other relevant details. After completing this registration, the bot automatically provides the students with the Google Form link for the pre-assessment.
This automated system not only speeds up the registration and assessment process but also minimizes the risk of data entry errors, enhancing the overall efficiency and accuracy of training assessments. The same process is repeated after the training session for the post-assessment, ensuring that all feedback and performance data are collected seamlessly and stored digitally.
